The successful candidate will be responsible for welcoming patients and visitors to the hospital facility, managing the reception area, answering phone calls, scheduling appointments, directing patients and guests to the appropriate personnel, maintaining office supplies, and performing various administrative tasks to ensure a smooth and professional front-of-house experience.
Key responsibilities may include:
Greeting visitors:
Professionally greeting and welcoming all guests upon arrival, directing them to the appropriate location or person.
Answering phone calls:
Answering and directing incoming calls, taking messages, and transferring calls as needed.
Appointment scheduling:
Managing appointment schedules by booking, rescheduling, and confirming appointments.
Administrative tasks:
Handling mail distribution, maintaining office supplies, updating records, and performing basic clerical duties.
Reception area maintenance:
Keeping the reception area clean, organized, and presentable.
Customer service:
Addressing customer inquiries, resolving basic issues, and providing information as needed.
Data entry:
Entering relevant information into the company database as required.
Basic office equipment operation:
Proficiency with office equipment like computers, copiers, fax machines, and scanners etc
Required skills:
Excellent communication skills, both verbal and written
Strong customer service skills and ability to maintain a positive demeanor
Strong organizational and time management skills
Attention to detail and ability to multitask effectively
Proficiency with office software and scheduling systems
