Job Description/Requirements
Responsibilities:
Customer Service and Client Experience (40%)
- Greet and welcome clients warmly upon arrival, creating a positive first impression.
- Provide detailed information about spa services, packages, and promotions to clients.
- Handle client inquiries and bookings efficiently via phone, email, and in person.
- Assist clients with check-in and check-out processes, ensuring a seamless experience.
Appointment Management (25%)
- Manage the spa’s appointment schedule, optimizing bookings to maximize efficiency.
- Coordinate with spa therapists to ensure a smooth flow of appointments and services.
- Handle appointment changes, cancellations, and rescheduling with professionalism.
- Send appointment reminders to clients to minimize no-shows.
Administrative Duties (20%)
- Maintain accurate client records and updated information in the spa management system.
- Process payments and handle cash and credit card transactions accurately.
- Manage inventory of reception area supplies and spa retail products.
- Prepare daily reports on appointments, sales, and client feedback.
Spa Ambiance and Presentation (10%)
- Ensure the reception area and waiting rooms are clean, tidy, and inviting at all times.
- Maintain a calm and relaxing atmosphere in line with the spa’s ethos.
- Assist in displaying and organizing retail products attractively.
Interdepartmental Coordination (5%)
- Liaise with spa therapists to communicate client preferences or special requests.
- Collaborate with the management team to implement new policies or promotions.
- Support marketing efforts by promoting spa services and special offers to clients.
Requirements:
- Higher National Diploma or Bachelor’s degree in Hospitality, Business Administration, or related field preferred.
- Previous experience in customer service, preferably in a spa, salon, or hospitality setting.
- Excellent communication and interpersonal skills.
- Proficiency in computer skills, including Microsoft Office and spa management software.
- Strong organizational abilities and attention to detail.
- Ability to multitask and remain calm under pressure.
- Knowledge of spa services and beauty treatments is a plus.
